FORCE MAJEURE
Force Majeure Event means any event or circumstance beyond the control of AAT Kings or Inspiring Journeys, including but not limited to: (a) an act of god (such as earthquake, flood, fire, explosion, landslide, lightning, the action of the elements, the force of nature, washout, typhoon, hurricane, cyclone, tsunami, storm or storm warning or natural disaster); (b) industrial disputes, work ban or other labour dispute or difficulty; (c) acts of terrorism, political unrest, war or threat of war, riots or civil strife; (d) failure or delays to scheduled transportation and the closure of airports or ports; (e) pandemic, epidemic or health risk; (f) governmental and administrative actions (including the closure of borders and travel warnings and restrictions).
PAYMENT TERMS
Provided you book at least 9 weeks in advance of our tour departure date, you must pay a deposit as detailed in the Summary Booking and Cancellation Terms table. If you book within 9 weeks of the tour departure date, you must pay the total price at the time of booking. Please note that we do not issue reminders. If you fail to pay by the due date, we reserve the right to cancel your booking and retain your deposit. By paying the required deposit per person to your travel agent or AAT Kings reservations consultant, you acknowledge that you have read, understood and accepted these booking conditions, which make up the contract between you and AAT Kings.
THE PRICE OF YOUR TOUR
When you have booked your tour and paid your deposit, the total tour price as shown on your Confirmation/Invoice may be subject to change but only in certain circumstances. Changes in (the price of the carriage of passengers resulting from changes to the cost of fuel or other power sources) (the level of taxes or fees imposed by third parties including tourist taxes, landing taxes or embarkation or disembarkation fees at ports and airports) or (imposed currency fluctuation) mean that the price of your travel arrangements may change after you have booked. However, there will be no change within 20 days of your tour departure date. All prices are subject to change, but we will absorb and you will not be charged for any increase equivalent to 2% of the price of your tour cost, which excludes any amendment charges. You will be charged for the amount over and above that, plus an administration charge of $1 per person together with an amount to cover the agent’s commission. If this means that you must pay an increase of more than 8% of the price of your tour, you will have the option of cancelling and receiving a full refund of all monies paid, except for any amendment charges. Should you decide to cancel for this reason, you must exercise your right to do so within 14 days of the issue date printed on your final Confirmation/Invoice. Should the price of your tour decrease due to the changes mentioned above, by more than 2% of your tour cost, then any refund due will be paid to you. However, please note that travel arrangements are not always purchased in local currency and some apparent changes have no impact on the price of your tour due to contractual and other protection in place. All prices printed in this brochure are subject to change without notice. The price will be confirmed at the time of booking and of course, you are free to decline the offer of a booking if a price has changed from that published. CHILDREN
Children 2-15 years of age are entitled to the child price on half-day and one-day tours as well as on Short Breaks that include overnight accommodation when sharing with at least 1 adult (unless stipulated otherwise). Children 0-23 months are considered an infant and travel free of charge on AAT Kings operated Day Tours and Short Breaks. Guided Holidays: Children 5-15 years are entitled to the child rate (unless stipulated otherwise). Children under the age of 12 years are not eligible to travel on Inspiring Journeys and the following AAT Kings Guided Holidays:
AMENDMENTS OF BOOKINGS BY YOU
a) If you amend your booking before a Confirmation/Invoice has been issued no contract has been entered into and there is no charge.
b) If, after a Confirmation/Invoice has been issued, you wish to alter your tour arrangements or to change the departure date we shall do our utmost to make the changes, but it may not always be possible. Any request for changes to your touring/ travel arrangements must be received by AAT Kings from the person who originally made the booking or from your travel agent at least 9 weeks before the departure date of the tour. This will incur an administration fee of £40 per person.
c) If you amend your booking within 9 weeks of the departure date of your tour, this will be treated as a cancellation and a new booking, incurring cancellation charges as set below in addition to the cost of your new tour booking.
d) You can transfer your booking to another person, who satisfies all the conditions that apply to this booking, by giving us notice in writing as soon as possible and no later than 14 days before departure. Both you and the new traveller are responsible for paying all costs we incur in making the transfer.
SMART WAYS TO SAVE
- Early payment discounts apply only to the land component of AAT Kings operated First Choice Guided Holidays or Inspiring Journeys, for departures from 01 April 2021 to 31 March 2022. They do not apply to Best Buys Guided Holidays, pre or post accommodation, rail or cruise components, or third party operated tours. Subject to availability and may be withdrawn at any time.
- Kings Club Past Guest Discount – one discount will be available per person, per Guided Holiday (First Choice, Best Buys or Inspiring Journeys) to the tour portion only. 3rd Party tours booked through AAT Kings will not qualify for Kings Club Benefit. You must have travelled with us before you can redeem a discount. Please advise previous tour details at time of booking, subject to availability and verification.
- 2nd-holiday discount applies to AAT Kings operated Guided Holidays (First Choice, Best Buys) & Inspiring Journeys. Holidays must be booked at the same time and the discount is per person off the Land Only portion of the holiday with the shortest duration. Valid on tours 7 days or more in duration.
- The triple share discount is available when 3 guests share a twin or double room with an extra bed (foldaway, sofa bed or rollaway) and are not available with young traveller discount. Triple share is not available on Inspiring Journeys, the third party operated tours, cruise and rail holidays, or at all hotels.
- Our ‘travelling solo’ single supplement applies to AAT Kings operated Guided Holidays (First Choice, Best Buys). It does not apply to Inspiring Journeys & Short Breaks. Ask your travel agent at the time of booking.
- Group Travel option applies only to AAT Kings and Inspiring Journeys operated holidays.
- Discounts provided on Future Travel Credits are not combinable with other discounts.

CANCELLATION BY TRAVELLER
Travel arrangements for any member of the party may be cancelled at any time by written notice by the person who made the booking.
If the notice of cancellation is received by AAT Kings or Inspiring Journeys before final payment is due (see Summary Booking and Cancellation table and Payment Policy), the deposit will be retained If cancellation is made after final payment is due cancellation fees will apply (see Summary Booking and Cancellation table and Payment Policy). Please also refer to Air Cancellation Section where applicable.
Notice of cancellation must be made in writing directly to AAT Kings or Inspiring Journeys or through your Travel Agent. Please also refer to AAT Kings or Inspiring Journeys Gold Seal Additional Protection.
If a person in a party cancels and there is a room change caused by this cancellation (such as a Twin/Double to Single, or Triple to Twin/Double), charges for the new room type will be the responsibility of the remaining party.
The charges detailed in the Summary Booking and Cancellation table (which includes GST), representing costs incurred by AAT Kings or Inspiring Journeys in cancelling your travel arrangements, will apply when notice of cancellation for your trip is given after the booking is confirmed. Please also refer to AAT Kings or Inspiring Journeys Gold Seal Additional Protection.
If a guest fails to join the trip on the day of departure, cancellation fees will be 100% (unless the guest notifies us of the delay and joins the trip later at their own expense).
Cancellation fees as per the Summary Booking and Cancellation table apply to additional accommodation and/or chargeable transfers prior to and after the trip, itinerary extensions or cruise reserved through AAT Kings or Inspiring Journeys.
Cancellation fees and charges will include any amounts that we have paid or have contractually committed to pay to third parties to deliver your travel arrangements which we cannot reasonably recover (for example payments made or due to airlines and hotels). Any payments we have made to third parties will only be refunded to you once we have deducted the above cancellation fees and charges and once we have actually recovered the amounts from the third parties.
CANCELLATION BY AAT KINGS
AAT Kings and Inspiring Journeys reserve the right, to modify or cancel any trip (definite or not), accommodation, in-destination activity or arrangement at any time.
Cancellation due to Failure to Pay
If full payment is not received by the due date (see Summary Booking and Cancellation table and Payment Policy), AAT Kings has the right to cancel your reservation and no refund will be made. AAT Kings will not be responsible for lost reservations.
Cancellation due to Force Majeure Events
If AAT Kings or Inspiring Journeys cancel a trip as a result of a Force Majeure Event, a future travel credit (FTC) to the value of funds paid to date less any third-party costs incurred will be provided. All FTCs will be valid for 24 months from date of issue.
Where a trip is terminated mid-trip due to a Force Majeure event, if we provide you with any alternative services or assistance (such as hotels or travel) then you agree to pay for these costs. In return, AAT Kings and Inspiring Journeys will provide a pro-rated FTC for the unused portion of your trip.
Cancellation due to Events other than Force Majeure Events
If the cancellation by AAT Kings or Inspiring Journeys is not as a result of a Force Majeure Event, AAT Kings or Inspiring Journeys will provide an alternative comparable trip (if available). If an alternative is not available then a refund will be made. AAT Kings and Inspiring Journeys is not liable for any cancellation or change cost or penalties incurred on other travel arrangements, including air travel, that may be affected thereby.
AAT Kings and Inspiring Journeys is not responsible for other travel arrangements that you or your party have made outside AAT Kings and Inspiring Journeys and which are affected by our cancellations.
ACCOMMODATION
Run of house rooms is used at all hotels featured in this brochure unless otherwise specified. A twin room generally means a room with two single beds, but some hotels may offer one double bed or include a bunk bed within the room. We cannot guarantee room configurations in advance. In triple-share rooms, the third bed may be a 'foldaway', 'sofa bed' or a 'rollaway' which can sometimes reduce the amount of available space in a room. No child rate is available when booking a triple room; all guests will be charged the triple rate irrespective of age. Quad share rooms are not available, and clients are required to book two rooms. Inter-connecting rooms are available on request and subject to availability. Generally, hotel rooms will be available from 3 pm and are to be vacated by 10 am, irrespective of your arrival or departure time. Should you wish your room to be available prior to 3 pm on your day of arrival or available after 10 am the day you depart it may be possible to reserve the room for the cost of an additional night. In some instances, on Aussie Adventure Tours only shared bathroom facilities will be available. In Milford Sound, we cannot guarantee private facilities on the overnight cruise. Occasionally, alternative land accommodation may be substituted.
SPECIAL MEALS & ROOM REQUESTS
Please advise AAT Kings of any special dietary requirements or room requests (adjacent, connecting, ground floor etc.) at the time of booking. Note that this will be on a request basis only, as AAT Kings cannot guarantee the availability of special meal types; and room requests are based on availability at time of check-in. AAT Kings does not provide personal devices such as wheelchairs, and regrettably, motorised scooters are not permitted on our Guided Holidays or Inspiring Journeys.
AIRFARES
Airfares are not included in the price of your holiday. Where we have specified a date, time and flight number, these items could be subject to alteration at the time of booking, so please check with your travel agent. Please note that AAT Kings does not incur any liability for airfares purchased by travel agents or clients via the internet, in the unlikely event that a tour is cancelled. AAT Kings cannot be held responsible for airfare conditions. All such risk, loss and expense must be borne by the travel agent or client.
LUGGAGE ALLOWANCE
One medium-size suitcase per person plus one piece of hand luggage which may be carried onboard the coach. Please note that luggage with an adjustable handle and wheels will not fit in the overhead vehicle compartments and cannot be accepted as hand luggage. Maximum weight of the suitcase is not to exceed 23kgs. We are required by strict Government Vehicle Weight Regulations to enforce and adhere to this limit. If your luggage exceeds this limit, we ask that you make alternative arrangements for the excess to be forwarded to the termination point of your tour. We suggest that you have wheels on your suitcase as there are certain places where assistance is not available (e.g. Railway stations and cruise terminals).
Airlines may impose stricter weight and size limits for luggage and may also charge fees for checked baggage, including the first checked bag. Please check with your airline(s) directly for the most current baggage regulations and related fees. AAT Kings is not responsible for additional fees imposed by carriers regarding luggage. All luggage and personal effects are always and in all circumstances at the risk of the tour participant. Luggage insurance is strongly recommended.
TIPPING / GRATUITIES:
While it is not compulsory in Australia or New Zealand, tipping is becoming an increasingly accepted practice in all areas of the service industry. Tipping is on a voluntary individual basis, with a guideline of $5 per day to your Travel Director or Driver Guide at the end of your holiday.
WIFI
Complimentary Wi-Fi service is available in many hotel guest rooms and/or the public areas of most hotels. Complimentary Wi-Fi is also provided on-board most of our touring coaches. Wi-Fi on coaches uses a mobile/cellular network and as a result, the connection will be slower than regular broadband and at times may not be available. In some areas, Wi-Fi may not be available. Please note that Wi-Fi may not be available on transfer coaches and other local services.
THIRD-PARTY SUPPLIERS
Third-party excursions, such as Scenic flights, Boat cruises, Helicopter Flights, Cable Car rides, some 4WD Tours, Hot Air Ballooning and Rail are not operated by AAT Kings, nor by persons or companies associated with AAT Kings. These activities may involve inherent risk of injury, death, accident, delay and loss and clients assume all such risk regarding any misadventure, death, injury, delay or loss which occurs during, or as a result of any such activity.
SHORT BREAKS AND DAY TOURS
Please note companies other than AAT Kings operate some of the touring in this brochure.
ULURU-KATA TJUTA NATIONAL PARK ENTRY FEES
The entry fee for Uluru-Kata Tjuta National Park is $38 per adult and is valid for 3 consecutive days. Children 5-15 years are free of charge. When taking multiple Short Breaks or Day Tours over 3 consecutive days in Uluru-Kata Tjuta National Park you only need to pay the fee once. This is an additional compulsory Government charge and is subject to change without notice. You must carry your entry ticket with you every time you enter the National Parks, or you will be required to purchase another.
ABTA
We are a Member of ABTA, membership number V0584. We are obliged to maintain a high standard of service to you by ABTA’s Code of Conduct. We can also offer you ABTA’s scheme for the resolution of disputes which is approved by the Chartered Trading Standards Institute. If we can’t resolve your complaint, go to www.abta.com to use ABTA’s simple procedure. Further information on the Code and ABTA’s assistance in resolving disputes can be found on www.abta.com.
COMPLAINTS
If you have a complaint about any of the services included in your holiday, you must inform our resort representative without undue delay who will endeavour to put things right. If it is not resolved locally, please follow this up within 28 days of your return home by writing to our Customer Services Department at Guest Relations Department, guestrelations@aatkings.co.uk, AAT Kings Tours (UK) Limited, 15 Grosvenor Place, London, SW1 X7HH giving your booking reference and all other relevant information. Please keep your letter concise and to the point. If you fail to follow the requirement to report your complaint in the resort, we will have been deprived of the opportunity to investigate and rectify it and this may affect your rights under this booking. Please also see the ABTA clause above.
TOUR PARTICIPATION, EXCLUSIONS AND RELEASE
Children under five (5) years of age are ineligible to travel on Guided Holidays. Children under twelve (12) years of age are ineligible to travel on any AAT Kings Inspiring Journey. Children under eighteen (18) years of age must be accompanied by an adult who will be responsible for their welfare and supervision. AAT Kings seeks to provide a safe, enjoyable and memorable travel experience for all guests and welcomes guests with special needs or disabilities provided they are accompanied by an able-bodied companion and do not require special assistance from AAT Kings personnel or other travellers. You must advise AAT Kings at the time of booking of any physical, medical or other needs that may affect your enjoyment of the tour or its enjoyment by others. You must also ensure that you are medically and physically able to travel. A medical certificate specifying clearance for travel may be requested at any time. Failure to do so may result in the termination of your tour arrangements without any liability on the part of AAT Kings. AAT Kings reserves the right at its reasonable discretion, to exclude from a tour, or to terminate the travel arrangements during the tour without refund, of anyone who:
- is unable to cope with the requirements of coach tour travel – this includes embarking and disembarking 4-6 steps that are approximately 30 centimetres high, at each stop of the coach, which some tours are at least 8 times per day
- Who may need or require services or facilities that are not available
- fails to comply with the reasonable instructions of AAT Kings personnel
- engages in illegal, unreasonable, or undesirable behaviour or interferes with the enjoyment of or jeopardises the safety of other tour participants
- Anyone so excluded will be required to disembark at a safe public location, transport from which will be wholly their responsibility.
You agree that AAT Kings is released from all liability for, and you agree not to hold AAT Kings responsible for the termination of your travel arrangements in accordance with the previous condition, or any decision made by AAT Kings or by any service provider who refuses to provide you with special accommodation facilities or services that are not available or who refuses to carry you by reason of any disability or medical condition In the event of your withdrawal from a tour after commencement for reasons of illness, you must obtain a medical certificate in support of any insurance claim. We regret that no refunds can be made for absences from a tour, including but not limited to missed meals or sightseeing.
AAT Kings makes no representation or guarantees concerning reimbursements of funds paid by you under any insurance claim.
OUR RESPONSIBILITIES
(a) We accept responsibility for ensuring that your tour arrangements, which you book with us, are supplied as described in our tour brochure/travel documents. If any part of your tour arrangements is not provided as promised due to the fault of our employees, agents or suppliers we will pay you appropriate compensation subject to paragraph (b) below our liability in all cases shall be limited to a maximum of two times the cost of you tour/travel arrangements.
(b) We accept responsibility for death, injury or illness caused by the negligent acts and/ or omissions of our employees or agents, our suppliers and sub-contractors, whilst acting within the scope of, or in the course of their employment in the provision of your tour/travel arrangements. We will accordingly pay to you such damages as might have been awarded in such circumstances under English Law or the law and jurisdiction of Scotland or Northern Ireland as chosen by you.
(c) Excursions or other tours that you may choose to book or pay for whilst you are on holiday are not part of your tour package holiday provided by us. For any excursion or other tour that you book, your contract will be with the operator of the excursion or tour and not with AAT Kings. We are not responsible for the provision of the excursion or tour or for anything that happens during its provision or operation by the operator.
ALTERATIONS BY AAT KINGS TO YOUR TOUR ARRANGEMENTS
It is unlikely that we shall have to make any changes to your tour, as we do plan tour arrangements many months in advance. Occasionally changes may be made, and we reserve the right to make them at any time as necessary. Most of these changes are of a minor nature and we shall advise you or your travel agent as soon as possible. If a major change is necessary, we will inform you or your travel agent as soon as reasonably possible, if the necessary time is available prior to the commencement of your tour. Some tours, however, involve travel in 'outback' remote and/or regional areas and AAT Kings reserves the right to alter itineraries or accommodation as necessary due to weather, road and other operational conditions at the time each tour takes place. Please note surcharges and minimum night stays may apply, and itineraries may vary due to special events, New Year's Eve, Christmas, Easter and other local events and/or holidays. Subject to a minimum number of guests, AAT Kings reserves the right to operate any touring on a smaller vehicle with a Driver Guide. We reserve the right in any circumstances to cancel your tour. As is normally the case with group tours, a minimum number of guests is required for a tour departure to be financially viable and for there to be a pleasant group atmosphere. If adequate guest numbers cannot be achieved on any scheduled departure, it may be necessary for AAT Kings to cancel a scheduled departure. Except for reasons of 'unavoidable and extraordinary circumstances' or failure on your part to pay the final balance of your owing on your tour, we shall not cancel your First Choice, Best Buys or Inspiring Journeys tour less than nine (9) weeks before the scheduled departure date. If we are unable to provide the tour booked, we will offer the nearest possible available tour (if it is more expensive you will have to pay the difference, but if it is cheaper we will process the appropriate refund) or if this is unacceptable, a full refund of monies paid for your tour. If there is the need, except for reasons of 'unavoidable and extraordinary circumstances', for such a major change to your tour arrangements within nine (9) weeks of the tour departure date, we will offer you additional compensation where deemed appropriate. The compensation we offer would not exclude you from claiming more if you are entitled to do so.
UNAVOIDABLE AND EXTRAORDINARY CIRCUMSTANCES
‘Unavoidable and extraordinary circumstances' refers to a situation beyond our control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Such as but not limited to war, the threat of war, riot, civil strife, industrial dispute, terrorist activity and its consequences, natural or nuclear disaster, fire, adverse weather conditions, epidemic or pandemics, unavoidable technical problems with transport or similar events which are beyond our control. Clients should ensure that they have adequate insurance to cover changes caused by 'unavoidable and extraordinary circumstances'.
CONDITIONS OF CARRIAGE
When you travel with a carrier, the conditions of carriage of that carrier apply, some of which may limit liability. This brochure is the responsibility of AAT Kings Tours. It is not issued on behalf of and does not commit any airline whose services are used during the tour. The tours advertised in this brochure are operated by AAT Kings Tours Pty Ltd on behalf of AAT Kings International Ltd.
AIRPORT TRANSFERS
AAT Kings and Inspiring Journeys offer complimentary airport transfers between designated airports and tour hotels on the scheduled start and end days of your tour ( excludes third-party operated products and Short Breaks). Transfers still apply in conjunction with pre/post tour accommodation booked through AAT Kings and Inspiring Journeys. Flight information must be provided to AAT Kings no later than 45 days prior to your departure date and must meet our brochure flight time requirements. It is your responsibility to update AAT Kings with any changes to your flight schedule to ensure you receive your transfers. Failure to do so may result in missing these services and no refund or compensation will be due for missed transfers resulting from missing or outdated flight information. Airport transfers are subject to timings of the suppliers operating schedule and may not be available for every flight.
PASSPORTS, VISAS, HEALTH REQUIREMENTS
All requirements should be checked in advance with the relevant Embassy, High Commission, Consulate or government body. We do not accept any responsibility if you cannot travel due to you have not complied with these requirements. You should also take advice on your specific needs regarding vaccinations or health measures you should take due to any stopovers on route to Australia or New Zealand that you may take.
TRAVEL ADVICE
It is your responsibility to check the Foreign & Commonwealth (FCO) website at www.gov.uk/knowbeforeyougo, for information and advice on visiting other countries.
INSURANCE
It is recommended that you ensure that you have adequate insurance. Your travel agent will be able to assist you with this.
BROCHURE VALIDITY DATES
For tours departing before 01 April 2021, refer to our 2020/21 brochure. This brochure supersedes all other issues. Although we cannot confirm bookings at the prices outside of the brochure validity period, we will accept advance registrations on payment of our standard deposit.
DATA PROTECTION STATEMENT
To process your guided holiday booking, AAT Kings will need to use personal information for you and guests in your booking. Personal information may include each guest’s name, address, phone number, email address, passport number and sensitive information such as health, medical, dietary, mobility, religious or other special requirements. This personal information may be passed on to other suppliers of your travel arrangements in addition to public authorities (such as customs and immigration), security and credit checking organisations and otherwise as required by law. We may need to provide personal information to contractors who provide services to or for us (e.g., sending mail, providing marketing assistance) This may involve sending personal information (including sensitive information) to other countries that may not afford the same level of protection of personal information. In making your booking you consent to your personal data being passed to relevant third parties as set out above. We may also use the personal information you provide us to review and improve the guided holidays and services that we offer and to contact you (by post, email and or telephone) about other guided holidays and services offered by AAT Kings that you may be interested in.
